Schools Officer, Artwork Loans

  • About you

    You will have experience of developing and coordinating projects with schools and museum collections, whether as a learning officer, project manager or registrar. You will enjoy working with a wide range of people and partners, and you are an excellent communicator. You are well organised, enthusiastic and full of initiative. You are confident using databases and CRM systems. You ideally will have an understanding of the logistics and principles involved when co-ordinating loans of artworks. You are passionate about, and an advocate for, using art as a powerful educational tool.

    At Art UK you will be supported within a friendly team focusing on delivering both learning resources and wider content. You will liaise closely and work collaboratively with your colleagues on many aspects of the role whilst also working with collection partners and schools. You will promote equality and diversity in all aspects of your work with the public, colleagues and external partners.

    Key responsibilities

    Programme Co-ordination

    • Oversee the day‑to‑day operation of the artwork loan programme between the lending institutions and participating schools. 

    • Develop and maintain clear procedures for requesting, approving, and tracking artwork loans. 

    • Coordinate schedules to ensure timely delivery, installation, and return of artworks.  Cultivate strong working relationships with the institutional partners and schools.

    Logistics & Collections Care

    • Liaise with museum registrars, conservators, and transport teams to ensure artworks are handled according to professional standards. 

    • Ensure condition checks are undertaken and maintain accurate documentation before and after each loan. 

    • Arrange transportation, insurance coverage, and environmental requirements for artworks in school settings in liaison with programme and collection partners.

    School Engagement

    • Serve as the primary point of contact for teachers and school administrators. 

    • Support schools in selecting artworks that align with curriculum goals or thematic interests. 

    • Provide guidance on safe display, basic care, and appropriate use of artworks in classrooms or school communal spaces. 

    • Share learning resources suggesting ways pupils can look at and engage with the artworks  Produce clear, accessible communications for schools.

    Administration & Reporting

    • Maintain accurate records of loans, budgets, and programme metrics. 

    • Prepare reports for funders, museum leadership, and educational partners as needed. 

    • Contribute to long‑term planning, evaluation, and development of the programme

    Necessary skills and experience

    • Essential: Experience in museum education, arts administration, or a related field. 

    • Essential: Excellent organisation and project‑management skills with meticulous attention to detail. 

    • Essential: Strong experience of using databases and CRM systems. 

    • Essential: First-class written and spoken communication skills, with the ability to engage and work effectively with a wide range of people. 

    • Essential: Experience of working with schools and supporting teachers. 

    • Essential: Self-motivated and reliable, able to meet deadlines on time and on budget. 

    • Essential: Excellent IT Skills (including Microsoft Office). 

    • Desirable: Awareness of visual literacy and how looking at art can be utilised in schools 

    • Desirable: Experience of planning and developing in-school educational activities 

    • Desirable: Good understanding of museum standards for handling and transporting artworks. 

    • Desirable: Experience working as or with museum registrars. 

    • Desirable: Active interest in the visual arts and awareness of UK art collection. 

    • Desirable: Experience working on projects with a broad range of partners.

    Contract terms and benefits

    • Full-time 

    • 12 month Fixed-term contract (with potential extension, funding permitting) 

    • £28,000 per annum 

    • Three-month probationary period 

    • One-month termination clause 

    • 25 days annual leave plus Bank Holidays 

    • Work from home, anywhere in the UK.
