A Million Acts of Hope (AMAOH) is a joint initiative to counter hate and division involving hundreds of charity partners and local community groups. It aims to boost community cohesion, shift cultural narratives and strengthen networks.
The Project Coordinator is a vital operational role that will keep AMAOH running smoothly, providing excellent project management, partner coordination and administrative support. This is a part-time role suited to someone who is highly organised, warm in their communications and genuinely motivated by AMAOH’s mission.
You will be the first point of contact for AMAOH’s partner organisations and will play a central role in making the coalition feel well-managed, responsive and connected.
What you’ll be doing in this role
Project management
Design, maintain and regularly update AMAOH’s project plan, tracking key workstreams, deadlines and dependencies across the team and flagging risks to delivery early.
Support the team to stay on track against delivery milestones, chasing actions, maintaining shared documents and keeping the project plan live and useful rather than a document that sits unread.
Maintain clear and organised filing systems for key documents, decisions and communications.
Meeting and working group support
Support key meetings and calls with partners and community groups, including scheduling, sending invites, planning agendas in collaboration with the Director and relevant team members, minute-taking, circulating papers and following up on actions.
Maintain a forward calendar of key meetings, deadlines and campaign moments.
Partner coordination and communications
Serve as the first point of contact for AMAOH’s partner organisations, answering queries promptly and warmly, signposting to relevant team members and ensuring no partner feels ignored.
Monitor and respond to shared inboxes; action, triage and escalate enquiries to relevant team members where appropriate.
Maintain partner engagement by drafting and sending partner emails and updates, writing clearly and in AMAOH’s voice.
Support the development of key communications and resources for partners, including presentations, toolkits, briefing notes and guidance documents, coordinating input from across the team and ensuring final materials are polished and on-brand.
General organisational support
Support the wider team with administrative and operational tasks as needed, such as expenses and expenditure tracking.
Contribute to building a culture within the AMAOH team that is generous, curious and respectful.
Help the Director and Risk Sub-Group to maintain and monitor AMAOH’s risk and safeguarding assessments.
Maintain employee records on our HRIS.
What we think you’ll need to be able to do the job
Essential
Experience of project coordination or project management support in a fast-paced environment, or relevant transferable experience.
Experience coordinating meetings, preparing and circulating papers, etc.
Experience of working in a small team with significant autonomy, able to manage your own workload, prioritise effectively and ask for help when needed.
Strong interpersonal skills, with a warm, responsive and professional approach to all partner interactions, including when managing difficult queries or competing demands.
Strong written communication skills, able to draft clear, warm and professional correspondence that represents AMAOH well to its partners and the public.
A proactive, self-directed and results-orientated approach, with great attention to detail and the ability to plan and organise several workstreams effectively.
Ability to proactively identify problems and present potential solutions.
Excellent IT skills across video conferencing, Microsoft and Google applications.
Desirable
Experience of working in the charity, voluntary or civil society sector.
Experience of supporting coalition or network management, coordinating across multiple organisations with different priorities and capacities.
Experience of supporting the production of presentations, toolkits or partner-facing resources.
Experience of managing shared inboxes or CRM systems.
Knowledge of the social cohesion or counter-extremism landscape in the UK and the risks associated with this.
Other requirements
Availability to work flexibly during key campaign periods, particularly in the weeks around the Week of Hope in May, when the demands of the role may temporarily increase.
Willingness to attend occasional in-person meetings, events or team gatherings.
Commitment to AMAOH’s safeguarding policies and practices.
