    Smartsheet is excited to be hiring an Order Operations Specialist to partner with our sales teams and support them throughout the sales cycle. In this role, you’ll play a key part in ensuring smooth operations and will report directly to our Manager of Order Operations, based in Costa Rica.

    This is a fantastic opportunity to make an impact in a fast-paced, collaborative environment. Please note, the position is offered as a 16-week fixed-term contract.

    You Will:

    • Support sales teams throughout the full sales cycle, ensuring compliance with Smartsheet policies and meeting customer needs

    • Work within Salesforce.com CRM & CPQ to assist sales representatives (experience with Salesforce or a similar system is required)

    • Review contracts and order documentation for accuracy and completeness

    • Quickly learn and become confident in the quoting process

    • Customise order forms and advise on complex deal structures, escalating specialised issues to the right partners for resolution and approval

    • Coordinate deal reviews with sales, and support training, development, and adherence to operational policies

    • Manage the daily deal approval process, ensuring alignment with organisational standards

    • Collaborate with cross-functional teams such as Finance, Legal, Professional Services, and Sales to ensure transactions are completed quickly and efficiently

    • Assist with reconciliation of multiple transactions and contract-related adjustments

    • Respond to partner inquiries (e.g., purchase orders, quote requests, invoices, order confirmations, status updates, pricing details) in Salesforce within SLA timelines

    • Provide sales teams with support in resolving inquiries throughout the sales process

    • Partner closely with fellow Order Operations team members to address requests and drive success

    • Perform other duties as assigned

    You Have:

    • 1+ years of experience in Order Management, Sales Operations, Contracts, or Deal Desk

    • 1+ years of experience working in a multinational or shared service center environment

    • Familiarity with financial principles, revenue recognition, and contracting guidelines

    • Background in handling a high-volume, multi-transactional environment (EOM, EOQ, and EOY)

    • Ability to thrive in a fast-paced, high-growth environment and adapt to new processes with ease

    • Strong problem-solving skills and proven ability to collaborate across multiple departments and stakeholders

    • Excellent communication skills, with the ability to tailor messaging to different audiences and situations

    • Legally eligible to work in the UK on an ongoing basis

    • Fluency in English is required
