Location: This is a remote working role, with monthly in-person team meetings which take place in London or Birmingham. Due to additional in-person events and meetings, as appropriate to the role and usually in London, the Fundraiser should be either based in London or within commutable distance.

Salary: £35,000 per annum, pro-rata

  • This position will suit a self-motivated experienced administrator who has, or is interested in further developing, a broad knowledge of company management.  The ideal candidate will be a good communicator who enjoys working collaboratively in a productive, agile and supportive team.

    The role is being offered on a permanent part-time basis.  DCD is a remote working organisation, so the post-holder will need to be able to work comfortably from home.

    Probation Period: 3 months

    Purpose of Role

    The main purpose of the General Manager role is to support the Executive Director, with the day-to-day operational management and administration of DCD.

    The post holder will be involved in supporting the work across all functions of the charity including finance, HR, governance, compliance, IT, operations, administration, reporting and event delivery.


    Whilst responsibilities listed in the job specification are broad, due to the size of the charity and third-party support provided by DCD’s bookkeeper and HR support provider, duties are not overly extensive. The post holder will also support the programme and fundraising functions.

    The description of the role set forth below is not comprehensive and is subject to change from time to time according to the needs of the charity.

    Key Relationships

    The General Manager will primarily work closely with, and support the Executive Director with their duties.

    The post holder will also collaborate with and support senior staff and fundraisers, as well as engage with DCD’s Trustees and committee members.

    The post holder will be the main point of contact and responsible for maintaining excellent relations with service providers, suppliers, HR, payroll and pension providers. 

    Key Responsibilities

    HUMAN RESOURCES

    Peninsula is DCD’s HR support provider, with regards to all employment matters, HR related polices, wellbeing and contracts. The post holder will be the main point of contact with Peninsula.

     Manage the end to end recruitment process including onboarding & induction of new starters.

     Prepare employment contracts, LOA’s and confidentiality agreements for staff, contractors and volunteers. Maintain accurate HR records on software platform Bright HR, and EDI and COI records confidentially.

     Main point of contact for DCD’s payroll (PEM) and pension (Peoples’ Pension) provider.

     Oversee and organise staff’s professional development, training needs and health & wellbeing support.

    GOVERNANCE & COMPLIANCE

    The Board and Finance, Audit & Risk

    Committee meet quarterly and the EDI Working Group three times per annum with staff EDI meetings in between to implement agreed actions.

     Service Board of Trustees, Finance, Audit & Risk Committee and EDI Working Group meetings.

     Maintain accurate records of Trustees on Companies House and The Charity Commission website.

     Liaise with Peninsula to ensure policies comply with employment, company and charity legislation.

     Update DCD Finance Policies & Procedures and obtain competitive insurance quotes annually.  Conduct annual Safeguarding Policy review with staff and organise training as required.

     Share DCD Polices with contractors, volunteers, partners and Trustees as outlined in HR documentation.

    FINANCE

    To work closely with DCD’s bookkeeper to process financial transactions, inputting accurate financial information and producing reports as required. DCD uses Xero accounting system and Approval Max and Apron software programmes to process payments. Training on financial systems will be provided if required, existing knowledge of these are not essential but candidates should possess strong IT skills and demonstrate a willingness to learn. Financial duties include, but are not limited to:

     Conduct financial transactions and approve expenses in accordance with DCD’s processes and procedures.  Download financial reports and statements, keeping accurate records of payments and donations.  Monitor the bank account, track transactions and assist with quarterly and end-of-year reconciliations.  Main contact for DCD bank accounts and company credit cards.

    OPERATIONS & EVENTS

     Research, manage and negotiate contracts with the charity’s suppliers and service providers.

     Manage the asset list, ensuring goods are recorded and depreciated in line with company policy.

     Book spaces for meetings, events and workshops, negotiating contracts and managing logistics i.e. catering, AV and access requirements.

    IT, DATA MANAGEMENT & REPORTING

    Oversee data management and improvements to CiviCRM. Streamline digital platforms, automating processes, utilise AI and improve efficiency where possible.  Responsible for ensuring GDPR compliance across services, programmes and operations.

     Liaise with IT provider with regards to licenses, access and upgrades as needed.

    EXECUTIVE SUPPORT & ADMINISTRATION

     Provide administrative support to Executive Director as requested, to support their workload.  Prepare weekly team meeting agenda, recording decisions & outcomes and follow up on agreed actions.  Produce contracts for vocational schools and companies as required, for sign-off by Executive Director.  Provide admin support to the fundraiser(s) and Relationship Managers, as agreed with Executive Director.  Monitor and respond to all finance, recruitment and RSVP mail correspondences.

    REQUIREMENTS OF ALL DCD STAFF

     Provide cover for other staff when required, to ensure business continuity i.e.

    during annual leave.  Contribute ideas to develop DCD’s services and business model, to evolve the charity and support dancers.  Comply with legal, statutory and DCD legislation and policies, inc. EDI, GDPR and Safeguarding.  Role model exemplary behaviour, upholding DCD’s values, and act as DCD ambassador at all times.  Able to work remotely and collaboratively, interacting regularly with team online and in meetings.  Have a flexible approach, with a willingness to undertake other duties as reasonably requested.

     Participate in DCD meetings, training and professional development opportunities as appropriate.
