Location: This is a home based flexible working role, with the exception of a weekly in person meeting with the rest of the team, offered on a self employed basis.
Temporary: One Year Fixed-term contract with 3 month probation. With the potential to extend for 2-3 years.
Working hours: 10 hours per week - with the potential to increase over time
Salary: £14 per hour

The role
As Arts Admin Assistant, you will work closely with our Company Producer and creative team to provide practical administrative support across Wyldwood Arts' work.
You'll be someone who enjoys making things work: keeping information organised, following up actions, helping with practical arrangements and making sure the details are taken care of.
The role is varied but deliberately focused. We are not expecting one person to manage every aspect of our administration. Your role is to provide consistent, reliable support across our core systems and day-to-day organisation.
What you'll be doing
Office and administrative systems
● Maintaining core administrative systems and digital records
● Keeping shared files, documents and information organised
● Formatting documents, reports, spreadsheets and other materials
● Supporting general office administration
● Helping the team keep track of key information and deadlines
Meetings and team support
● Attending the weekly team meeting
● Taking clear minutes and maintaining action lists
● Following up actions where appropriate
● Coordinating room bookings and meeting arrangements
● Helping organise practical arrangements for meetings and activities
People administration
● Supporting the onboarding of new staff, freelancers and collaborators
● Helping coordinate training and induction arrangements
● Supporting DBS administration and maintaining relevant records
● Making sure new team members have the information they need to get started
Travel and practical arrangements
● Booking travel and accommodation for staff, artists and collaborators
● Supporting practical arrangements for projects, meetings and events
● Helping coordinate straightforward logistical requirements
Wyldwood Wagon and Van
● Keeping maintenance records and schedules up to date
● Booking servicing, MOTs and repairs when required
● Supporting the team with the practical administration associated with the Wyldwood Wagon and Van
Project support, data and images
● Supporting the collection and organisation of project data
● Helping maintain records needed for monitoring and reporting
● Supporting the team to keep project information organised
● Organising and storing project images and other digital materials
● Carrying out occasional research tasks to support projects and organisational development
Fundraising support
● Supporting fundraising activity through data entry and information gathering
● Helping maintain accurate contact and stakeholder information
● Supporting the team with straightforward administrative tasks related to funding applications and reports
This is a small organisation, so there will inevitably be occasions when you need to pitch in, solve a problem or help with something that isn't on the list. We value people who are practical, curious and willing to get stuck in.
What we're looking for
Essential
You will:
● Be local to the Forest of Dean
● Have excellent administrative and digital skills, with strong attention to detail
● Be confident using everyday digital tools and able to learn new systems quickly
● Have an interest in, or knowledge of, the arts, community work and/or social justice, and an alignment with Wyldwood Arts' values
● Take initiative, spot what needs doing and be able to work independently
● Be a team player who communicates well and enjoys working collaboratively
● Be organised and able to manage several tasks and priorities
● Be reliable and able to follow things through
● Have clear and confident written and verbal communication skills
You don't need to have worked in an arts organisation before. We're interested in your skills, your approach and your willingness to learn.

How we work
The role is line-managed by our Company Producer and is part of our small creative team.
You'll take part in our weekly team meeting in person, with the rest of your hours organised flexibly around the needs of the role.
We currently work through a mixture of remote home-based working and working together in person. We are based in Cinderford while we look for a permanent home for Wyldwood Arts, so the location of our office will develop over the course of the role.
Some travel across the Forest of Dean and beyond may be required. Work-related travel expenses will be covered.
