The Team Assistant will work across all our projects and will often be people’s first point of contact with The Together Project, so we’re looking for someone who embodies the joy and optimism that we bring to our work. However for this role, you will mainly focus on Songs & Smiles.
As well as liaising with external partners and our service users, you will provide hands-on administrative support to a team as we grow and expand, making a real difference to the organisation and to our beneficiaries’ lives. You’ll be working closely with the Programmes Coordinators to ensure that our projects run smoothly and efficiently. It will be your job to make sure that the sessions are well attended, everyone knowing where they are supposed to be and when, and that we are delivering a first class service to everyone that comes into contact with us.
Day to day tasks will include:
Managing the Songs & Smiles inbox, answering/triaging all messages and following up as necessary
Managing the Songs & Smiles bookings, waitlist and registers, including setting up new sessions on the booking platform
Monitoring attendance using the ‘bookings vs attendees’ sheet, flagging underperforming areas and offering solutions to this
Using the booking platform to gather information on beneficiary numbers, demographics, donations and Gift Aid - this information could be used in reports and presentations
Supporting with the set-up and management of Facebook ads and ads on other online platforms
Supporting with reaching out to new parents
On the ground promotion of sessions, including flyering
Managing general communication to Group Leaders and Volunteers
Assisting the team with any other tasks you are reasonably assigned
