Operations Coordinator

Employer: Pinpoint

Location: This is a remote role based in the U.K., with occasional in-person meetups in London.

Working hours: Full time

Salary: £40,000 - £45,000 / year

  • We’re a high-growth HR tech startup building and selling software that helps in-house recruitment teams attract, hire, and onboard the right talent. Today, we have a strong foundation in place, with a mature product, rapid growth, strong product-market fit, and happy customers.

In the last two years, we’ve grown from 20 to 80+ people and more than doubled our customer base. As the company scales, our operations need to scale too — which is why we’re hiring an Operations Coordinator. You’ll join a small, collaborative team that gets stuck into everything from onboarding to billing support to compliance. It’s a varied, fast-paced role with lots of visibility and plenty of opportunity to learn.

The fine print (but way more exciting):

    • This is a remote role based in the U.K., with occasional in-person meetups in London.

    • Our lean Operations team (including the COO) takes on varied, fast-paced work with a high bar for execution — balanced by flexibility, trust, and mutual respect.

    • A substantial part of this role is reactive. You’ll need to be excellent at prioritizing ad hoc requests, setting expectations, and following through reliably.

    • Our values shape who we are and how we work. We're excited to meet candidates who share these principles and will bring these values to life in their work.

    About the Role

    Finance & Compliance (40%)

    • Support recurring compliance tasks (access reviews, vendor risk assessments, Vanta checklists)

    • Handle onboarding and offboarding tasks: system access, MDM setup, equipment ordering, and collections

    • Issue company shares in Carta as part of onboarding

    • Help complete supplier forms and financial details to ensure timely customer payments

    • Optional: assist with billing support and light bookkeeping

    People Ops (35%)

    • Lead onboarding logistics — from equipment and tools to welcome meetings and internal scheduling

    • Manage onboarding/offboarding workflows in Deel

    • Coordinate our internal newsletter and quarterly performance reviews

    General Admin (25%)

    • Book meetings, travel, equipment, and gifts for internal stakeholders

    • Keep our internal documentation organized and up to date

    • Triage messages in shared inboxes (e.g. accounts@, hello@) and assign follow-ups

Tech stack: Asana, Notion, Google Workspace, HubSpot, Excel, Deel, Carta, Vanta

    What does success look like?

30 days: Onboard into our tools and workflows, meet key stakeholders across Ops, Finance, and People, start helping with inbox management, meeting scheduling, newsletter, and onboarding shadowing
60 days: Build confidence in core processes like compliance tasks and onboarding/offboarding, triage internal Ops queries and take first pass at solving blockers, increase autonomy on recurring admin workflows
90 days: Run onboarding/offboarding processes end-to-end, become a go-to for team-wide operational support, spot inefficiencies and make process improvements, inspire confidence with internal and external stakeholders

    About You

    • 1–3 years of experience in operations, administration, EA, or similar generalist roles

    • Structured, reliable, and composed under pressure

    • Thrive in fast-paced, high-ambiguity environments with shifting priorities

    • Strong attention to detail and excellent follow-through

    • Confident communicator — comfortable with senior stakeholders and external contacts

    • Discreet and trustworthy — you’ll handle sensitive information with care

    • Curious and proactive — quick to figure things out and take initiative

    • Bonus: experience at a startup or fast-growing SaaS company

    • Proven track record of acting on and making decisions that align with our core values

    • Based in the UK with work authorization

    About Pinpoint

We’re changing the way companies hire, and rewriting the rules of recruitment.

We build talent acquisition software, setting out to fix broken hiring processes that make it so hard for great candidates and great companies to find each other.

We do this by being the only applicant tracking system on the market that’s both fast and easy to use, while being flexible enough to manage complex workflows as companies grow.

We believe attracting the right people and building the strongest teams means being different, not better. It means helping candidates understand what you do and don’t offer—warts and all. And enabling your whole team to be part of the hiring process.

If you’re looking for somewhere you can learn quickly, make a meaningful impact in a fast-paced business, and grow your career, you’re in the right place.

We’ll enable you to do your best work with the tools you need, support from the rest of the team, and an expectation that you’ll challenge that status quo—helping us continually improve what we do.
