  • Job summary

    As a General Administrator within Diagnostic Pathways, you will provide essential administrative support across multiple stages of the patient journey. This includes referrals data processing, administrative triage support, and or appointment bookings.

    The role requires a flexible and adaptable approach, with the postholder working across different areas of the diagnostic patient pathway in response to service need. You will support the smooth and timely flow of referrals and appointments, ensuring accuracy, efficiency, and compliance with internal governance and information governance standards.

    Main duties of the job

    • Process and manage incoming diagnostic pathway referrals accurately and efficiently

    • Provide administrative support to referral triage activity

    • Book and manage patient appointments across diagnostic pathways

    • Work flexibly across different areas of the patient pathway, including referrals, triage administration, and bookings

    • Maintain and update internal database systems, trackers, and patient records

    • Respond to routine administrative queries from internal teams

    • Respond to queries from patients

    • Support data quality, audit requirements, and reporting activity

    • Contribute to continuous improvement of administrative processes

    What We Are Looking For

    • Strong administrative skills with excellent attention to detail

    • A flexible approach to work, with the ability to move between different administrative functions as required

    • Experience in healthcare administration, referrals, bookings, or similar roles

    • Ability to manage competing priorities and workloads

    • Clear written and verbal communication skills

    • Experience & Confidence in using Microsoft Office and electronic patient records (EPR) systems

    • Ability to work independently while contributing effectively to a wider team

    Job responsibilities

    Job Purpose

    Provide broad administrative support across different areas of the business to ensure smooth and efficient functioning of various administrative procedures. This position includes tasks such as handling, checking, and entering data. The postholder will be responsible for maintaining the accuracy and integrity of data in line with GDPR and company policies, while offering flexible support to different teams as directed by Service Managers.

    Key Responsibilities- may vary according to service needs

    Administrative Support

    Process incoming referrals by entering data accurately and allocating them promptly to clinical teams.

    Review and input patient information into records using the appropriate systems, ensuring all details remain consistent and reliable.

    Keep patient records and pathway trackers up to date, following GDPR and SSC guidelines.

    Draft, send, and track communications with patients, referrers, and partner organisations.

    Assist with scheduling for assessments, clinics, and follow-up visits.

    Oversee email inboxes, ensure patient correspondence is uploaded quickly, and maintain thorough records.

    Correspond with patients and other stakeholders, such as GPs, via email.

    Teamwork & General Support

    • Work closely with the Team Leads, clinical teams, and other administrative staff to ensure seamless patient journeys.

    • Provide general administrative support wherever needed within the SSC services, as directed by the Service Managers. This may include covering for colleagues, assisting with ad hoc projects, or supporting service improvement initiatives.

    • Contribute to team meetings where required.

    Compliance & Governance

    • Ensure all administrative tasks are completed in line with SSC standard operating procedures and contractual requirements.

    • Support data quality and audit processes as required.

    • Maintain confidentiality and uphold the highest standards of information governance.

    Person Specification

    Experience

    Essential

    • Previous experience in an administrative or office support role -healthcare or public sector desirable.

    • Excellent organisational skills and attention to detail.

    • Confident IT user - MS Office, databases, digital forms.

    • Strong written and verbal communication skills.

    • Ability to manage competing priorities and work to deadlines.

    • Commitment to SSCs values of inclusion, quality, and continuous improvement.

    • Understanding of GDPR and data protection in a healthcare context.

    Desirable

    • Experience supporting clinical or diagnostic services.

    • Knowledge of NHS systems.
