People Officer (London)

Purpose of the role
SPANA’s Global Resources team supports SPANA’s mission to transform the welfare of
working animals, including providing efficient and effective HR delivery across the
organisation. This role will report to SPANA’s Global People & EDI Manager.
We are seeking a People Officer to support processes and systems across the employee
lifecycle, with a particular focus on ensuring high quality and efficient recruitment. The
People Officer will also play a key role in continuing the roll out of SPANA’s HR platform,
Moorepay, which was introduced earlier this year.
Key responsibilities
Area 1: HR platform
• Maintain oversight of the continued roll out of Moorepay as SPANA’s HR platform.
• Ensure accuracy of data and design and generate reports and dashboards, as
needed.
• Design, test and implement new workflows to increase efficiency.
• Ensure processes are followed and staff queries are resolved.
• Contribute to designing and delivering staff training for new functions.
• Act as first point of contact for staff queries and questions, ensuring swift resolution.
Area 2: Recruitment and on-boarding
• Manage the administration of recruitment including checking job descriptions,
posting roles, checking and filing applications, sending invites and scheduling
interviews, administering assessments and other communications with candidates.
• Ensure the progress of recruitments is tracked and potential delays are identified
and mitigated.
• Monitor the reach of different jobs boards to support efficient advertising.
• Draft offer letters and staff contracts.
• Monitor the recruitment inbox and respond to routine queries from staff and
candidates, escalating where needed.
• Support the ongoing transition and optimisation of recruitment processes onto
SPANA’s new HR system, including testing and troubleshooting.
• Administer right to work checks and other on-boarding processes.
Area 3: HR processes
• Work with the Global People & EDI Manager on HR processes across the employee
lifecycle, including appraisals, contractual changes and off-boarding.
• Prepare SPANA’s monthly payroll report and ensure approval and submission
before deadline.
• Proactively suggest improvements to processes to increase efficiency and staff
experience.
• Support learning and development, including researching, arranging and co
ordinating training, evaluations and logging attendance.

Area 4: HR administration and queries
• Schedule meetings including inductions, internal training and exit interviews.
• Monitor internal timelines for processes including probation and contract extensions,
ensuring paperwork is completed and filed.
• Respond to and resolve straightforward HR queries, escalating when appropriate.
• Draft documentation including contracts, variations and employment verification
references.
Area 5: General responsibilities
• Support internal communications to the wider organisation on HR updates.
• Contribute to initiatives to support engagement and employee wellbeing.
• Attend webinars and external events as required, incorporating learnings into day
to-day processes at SPANA.
In addition, undertake any other duty or responsibility that may reasonably be required for
this role.
Person specification
Knowledge and education
• CIPD Level 3 or equivalent professional experience.
• Knowledge of equality, diversity and inclusion good practice.
Experience and skills
• Experience in an HR generalist role, working across the employee lifecycle.
• Experience working with an HR platform, including uploading data, planning
workflows and automating manual processes.
• Experience in confident and discrete handling of sensitive data.
• Proficient user of Microsoft Office.
• Understanding of relevant employment law and HR good practice.
Personal attributes
• Confidence managing confidential data.
• Positive and proactive with good problem-solving skills.
• Good communicator with the ability to build relationships while working remotely.
• A commitment to SPANA’s mission to transform the welfare of working animals.
• Organised with a strong ability to prioritise effectively.
Desirable criteria
• Experience using Moorepay or other HR software to design workflows or process
improvements.
• HR experience within the charity sector.
