The Supply Chain Contracts Co-ordinator provides essential administrative support for the management of supply chain contracts within the HAAS Supply Chain. The role is responsible for preparing, maintaining, and controlling contractual documentation, as well as managing formal correspondence and supporting the supply chain team with a range of contract-related administrative tasks.
You will work as part of a wider HAAS Supply Chain Management team, together representing Ingeus internally and externally and closely with the Supply Chain Co-ordinator, fostering strong collaboration to ensure seamless coordination between contractual/administrative and operational aspects of the supply chain. By working together, both roles contribute to the continuous improvement and smooth running of the HAAS Supply Chain, delivering high-quality service to all stakeholders.
What you’ll be doing:
Contractual Documentation
Prepare and maintain accurate records of all contractual documents for HAAS Delivery Partners (DPs).
Track contract milestones, renewals, amendments, and terminations, ensuring all paperwork is up to date and properly authorised.
Maintain auditable records to support internal and external audits, as required.
Controlled Correspondence
Draft and issue formal correspondence with Delivery Partners and stakeholders, ensuring all communications are handled in line with company protocols.
Manage and log all formal correspondence with Delivery Partners.
Maintain confidentiality and data protection standards in all correspondence.
Act as a point of contact for queries regarding contractual documentation and correspondence.
Administrative Support
Provide administrative support to the supply chain management team, including scheduling meetings, preparing agendas, and recording minutes for contract-related discussions.
Support the implementation of service improvement initiatives and operational changes as directed by the Head of Supply Chain.
Assist with the preparation of reports and other documentation as required.
Collaboration
Work closely with the Supply Chain Co-ordinator to ensure comprehensive coverage of both contractual and operational responsibilities.
Share information, best practice, and updates to ensure alignment and continuity across all supply chain activities.
Provide mutual support during periods of high workload or absence to maintain service levels.

Essential:
Strong organisational skills and attention to detail.
Experience in preparing and managing contractual documentation.
Excellent written and verbal communication skills.
Ability to manage confidential information and correspondence.
Proficiency in Microsoft Office and document management systems.
Ability to work collaboratively within a team and across functions.
Desirable:
Experience in a supply chain or contract administration role.
Knowledge of public sector or government contract requirements.
Experience supporting audits and compliance activities.
Experience in service delivery environments.
