About the role
We are seeking an experienced and confident administrator to support the smooth operation of GLAN. With a team of around 20 staff, this is the organisation’s sole dedicated administrative role, and we are therefore looking for someone highly organised with exceptional attention to detail, who is comfortable managing a broad portfolio of responsibilities and carrying significant operational ownership. The primary purpose of the role is to ensure the efficient, organised, and effective functioning of the charity so that GLAN can maximise its impact in achieving its mission and goals.
This position involves a wide range of duties, including governance and HR administration, internal and external communications, and ensuring organisational compliance with relevant regulations. You will also provide direct administrative support to the Senior Leadership Team and the Board.

Key Responsibilities
Operations administrator
Organise team meetings including bookings, agendas, minutes and follow-ups
Support with logistics, such as booking of travel
Be the main point of contact for our outsourced external IT support, noting that whilst they handle IT issues, as administrator you would be responsible for actions outside their remit such as; buying, posting or collecting of hardware & Cloud based systems used by GLAN, such as training providers or case management systems – e.g. adding new users or pulling reports
Supporting employee benefits, such as setting up of new benefits or managing existing
Maintaining the employee handbooks
Undertake training to become a second Data Protection Officer at GLAN to support with DPO tasks.
HR support
GLAN has a qualified HR professional on retainer to support with more complex issues, but the Senior Administrator would lead on:
Supporting the recruitment, onboarding, and development processes for new and existing staff, including student placements and consultants, as well coordinating exit interviews with leavers
Undertake HR administrative tasks and maintenance of the HR system
Create, implement, and maintain organisational policies and procedures as needed
Provide cover for the Finance Manager in processing payments and expenses when they are on leave
Develop, implement, and maintain simple processes and systems to support the monitoring and evaluation of our work and that the storage and use of information is compliant with GDPR
Monitor the ‘info’ mailbox and respond to general enquiries and forward on if appropriate
Board of Trustees, subcommittees & Senior Leadership Team
Coordinate and support the Board of Trustee meetings by liaising with Trustees, booking venues, prepare meeting materials and agenda.
Take accurate minutes and ensure these are circulated within 5 working days.
Deal with occasional Trustee administrative tasks, such as issues access their emails or booking travel
Provide administrative support to the Senior Leadership Team.
Managing suppliers
Support the management of key third party partners and service providers, accountants, auditors, and technology partners
