    Purpose of the role

    Reporting to the UASC and Care Leaver Repairs and Maintenance Team Leader, the UASC and Care Leaver Repairs and Maintenance Coordinator is responsible for ensuring that accommodation used by Unaccompanied Asylum‑Seeking Children (UASC) Children in Need, Children in Care and Care Leavers remains safe, well‑maintained, and compliant with property standards, regulatory requirements, and contractual expectations.

     

    The postholder oversees the full lifecycle of defect reporting—from receiving and logging maintenance issues, to monitoring repair timescales, coordinating contractors, and tracking compliance. They play a key role in ensuring young people live in safe, habitable environments by maintaining strong oversight of defect management, property safety obligations, and performance standards across the accommodation portfolio.

     

    This role ensures accountability, high‑quality repairs, and timely responses, contributing directly to safeguarding, wellbeing, and placement stability.

    Duties and Responsibilities

    Procedures

    • Act as the first point of contact for reporting defects, repairs and maintenance issues raised by young people, staff and accommodation providers.

    • Record all defects accurately on relevant systems, categorising them by priority level (emergency, urgent, routine).

    • Acknowledge all reported issues and provide clear communication regarding expected timescales and next steps.

    • Ensure defects affecting safety or habitability are escalated immediately.

    • Allocate defect reports to appropriate contractors, landlords or internal maintenance teams in line with service procedures.

    • Track and monitor repair progress to ensure completion within contracted or statutory timescales.

    • Follow up with contractors and providers to prevent delays and ensure repairs are satisfactory and completed on time.

    • Escalate overdue repairs or persistent delays to management and commissioning teams.

    • Ensure all properties meet relevant health and safety regulations

    • Track and update compliance certification, ensuring documents are stored and renewed before expiry.

    • Identify and escalate any defects or maintenance issues that may present safeguarding or health and safety risks.

    • Support property audits, inspections and compliance checks by preparing reports and verifying repair records.

    • Ensure repairs follow agreed contractual obligations, quality standards, and local authority requirements.

    • Liaise with landlords, maintenance teams, contractors and accommodation providers to coordinate works and resolve issues.

    • Build positive relationships to maintain accountability, ensure quality of repairs, and promote timely responses.

    • Provide clear instructions to contractors, ensuring accurate understanding of works required and priority levels.

    • Address contractor‑related performance concerns and report patterns of non‑compliance to the relevant team.

    • Create monitoring reports on repairs performance, outstanding works, compliance gaps and property risk indicators.

    • Ensure all documentation is completed in line with GDPR, data protection standards and internal procedures.

    • Maintain accurate, audit‑ready records of all defects, repairs, invoices, certificates and correspondence.

    • Highlight risks, delays or repeated defect trends to managers for

    • Support service audits and external inspections (e.g. Ofsted, commissioning reviews) by providing accurate data and evidence.

    • Offering guidance and support to the team to maintain the standards of their property portfolio and support the accommodated young people.

    • Managing your own time to meet business demands, ensuring KPI targets are met in line with contract specification(s) timescales.

    • Meeting both your own Key Performance Objectives and actively supporting your team to meet their objectives and meet the requirements of the contract(s).

    • Planning and managing personal business objectives in line with the contract specification and standards set out in the children’s contracts.

    • Pursuing personal development of skills and knowledge necessary for the effective performance of the role.

    • Individually performing internal audits as assigned as part of compliance with the contract KPI.

    • Internal audit planning, scoping, fieldwork, and reporting.

    • Attending meetings with internal and/or external stakeholders as a departmental representative to validate audit findings and provide a comprehensive solution(s) that will mitigate any identified risks.

    • Communicating the findings from internal audits confidently and articulately to the business.

    • Providing support to the Property Services department in relation to compliance matters.

    • Dealing with data processing, service contract administration, supporting with the collation and presentation of KPI's.

    • Ensure queries are resolved within the fastest possible timescales via phone and email.

    • Enable smooth and compliant delivery of service.

    • Communicate with external suppliers as required.

    • Liaise closely with line manager, team members and other teams.

    • Liaise with internal and external stakeholders.

    • To ensure all safeguarding issues are addressed and signposted in accordance with the company policies and procedures.

    • Coordinate and liaise with team members to ensure cohesive and compliant delivery of service.

    • Work closely with your line manager and team members.

    • Collaborate with others, attending meetings as required.

    • Supporting team members and provide on-the-job training.

    • Provide cover for other staff as agreed by line manager.

    • Ensure all records are maintained and kept up to date according to company policies and procedures.

    • A full UK driving licence and use of own vehicle. The role involves working from home with occasional travel involved to Whitstable.

    • Monitor own work levels, progress and development in the role.

    • Undertake all core learning and development programmes as required.

    • Undertake relevant learning according to agreed Personal Development Plan.

    • Maintain a good understanding of the legislation of the contract.

    • You will be required to make sure the service is in line with OFSTED Government guidance, to ensure compliance with the Supported Accommodation Regulations 2023 and that the necessary changes are made to achieve the minimum standards required.
