About the roleWe’re looking for a highly organised and proactive Personal Assistant to support our Director of Organisational Effectiveness and Director of HR - with the flexibility to support other senior leaders as the role evolves. This important role will provide administrative assistance to help deliver our strategic and operational objectives.
In this role, you’ll be the first point of contact for internal and external stakeholders acting as an extension of the Director and supporting them to achieve their priorities.
Key responsibilities:Act as the first point of contact for the Director, managing correspondence and queries with professionalism and discretion.
Proactively manage complex diaries, inboxes, and schedules, adapting to change with a positive mindset.
Coordinate meetings and events, including logistics like organising travel and accommodation, agendas, briefing notes, minutes, and action plans.
Handle administrative tasks such as managing expenses, purchase orders, room bookings, and catering.
Build strong relationships with internal teams and external partners, maintaining confidentiality and trust.
Collaborate with other PAs and Business Support colleagues to ensure seamless service and coverage.
Support the Director with reporting, briefing coordination, and ad-hoc tasks as needed.
Reflect the behaviours and values of the Director and of Macmillan, contributing to a high-performing, self-sufficient culture.
About youThe successful candidate will bring a blend of proactive thinking, emotional intelligence, and operational excellence to this role. You will demonstrate the following skills and experience:
Solid track record of previous experience in administrative processes and support for senior leaders
Proactive approach to anticipating needs and outcomes
Excellent organisational and planning skills and demonstrable ability to prioritise and work to deadlines in a multi-tasking environment
Strong written and verbal communication skills, including confidence in dealing with individuals at all levels
Ability to develop professional working relationships and build trust quickly with internal and external stakeholders
Experience in using tools and systems, with strong proficiency in Microsoft Office applications, including Outlook, Teams, Word, PowerPoint, and Excel
