About the role:
Today, our EMEA Sales and Customer Success teams are navigating structural inefficiencies across billing, contracting, Salesforce workflows, and issue resolution. The absence of a single operational owner has resulted in fragmented processes, reactive coordination across teams, and avoidable administrative load on revenue-generating roles
The Operation Manager & Executive Assistant is a high-impact hybrid position spanning:
Revenue Operations
Sales & Account Management Support
Executive Assistant to the VP EMEA
Office & Employee Experience Management
GTM Systems Administration
You will provide operational and administrative support across the EMEA team, helping ensure that deals are processed accurately, leadership is supported, and the office environment enables performance.
This role combines ownership of defined areas (executive support and event coordination) with support across revenue operations and systems workflows.
This is not a purely administrative role. It is a coordination-focused operational role with exposure to revenue processes and cross-functional workflows.
Responsibilities:
Revenue Operations & Deal Execution
You will support the operational lifecycle of deals, assisting Account Executives, Account Managers, Customer Success Managers, and RevOps with contract setup, billing coordination, and issue resolution.
Deal Setup & Billing Coordination
Assist with end-to-end billing and client setup for new and renewing customers
Create and issue standard and custom contracts using pricing tables and internal templates
Maintain accurate Salesforce opportunity, renewal, and billing data
Coordinate with Sales, Billing, and Finance to support alignment prior to billing initiation
Revenue Assurance & Invoice Management
Assist in validating invoices against contracted terms and system data
Support resolution of billing discrepancies, including back billing cases
Track and escalate past-due invoices as needed
Maintain billing tags and revenue tracking integrity
Issue Resolution & Process Optimization
Centralize tracking of open billing and sales ops issues
Coordinate cross-functionally with AEs, AMs, CS, Finance, and Billing
Flag process gaps and escalate improvement opportunities to RevOps or leadership
Tech Stack Administration & Optimization
Support administration of Salesforce and core GTM systems as a power user
Ensure CRM data hygiene and pipeline integrity
Assist with workflow updates, reporting accuracy, and documentation of best practices
Partner with Global Sales Ops to align EMEA processes with global standards
Event & Meeting Coordination
Own end-to-end coordination of logistics for customer meetings, partner sessions, leadership offsites, and executive gatherings (in partnership with Marketing or leadership teams)
Manage agendas, materials, logistics, and vendor coordination
Oversee on-site execution when required
Executive Support – VP EMEA
Provide dedicated administrative support to the VP EMEA, enabling focus on strategic priorities.
Manage complex calendar scheduling across multiple time zones
Coordinate domestic and international travel (flights, lodging, visas, transportation, meeting logistics)
Prepare and submit expense reports in internal systems
Support preparation of leadership materials, executive offsites, and board meetings
Act as a coordination point for internal and external stakeholders, ensuring smooth communication and logistics
Office Operations & Employee Experience
Ensure new and existing employees have key card access, seating, and tech setup (in coordination with IT)
Order supplies, manage deliveries, and maintain an organized workspace
Curate in-office events, happy hours, volunteer initiatives, and community activities
Foster a welcoming, high-performing office culture
Skills & Qualifications:
3–5+ years of experience in Revenue Operations, Sales Operations, Executive Support, or hybrid operational roles within SaaS or technology companies
Strong Salesforce proficiency; familiarity with billing systems and CRM workflows
Experience supporting billing processes, contract coordination, or revenue-related workflows in partnership with senior team members
Demonstrated ability to manage executive calendars and international travel
Exceptional organizational discipline and attention to detail
Comfort working across teams (Sales, Finance, Operations) to coordinate tasks and ensure timely execution
Proactive and solutions-oriented, with the ability to identify issues and escalate or seek guidance as needed
Analytical mindset with interest in improving processes, while supporting initiatives led by senior team members
Comfort operating in a fast-scaling, cross-functional environment
Fluent in English; additional European languages a plus
