    Summary

    This is a foundational role at the heart of our growing internal AI team. We are in the early stages of our journey, and we need a hands-on Operations Manager to build effective processes and effective data reporting dashboards that highlights impact. You will be the central operational hub, working directly with our Head of Innovation and a team of AI Innovation Managers to turn ambitious ideas into reality.

    Your mission is to bring structure to our innovation, clearing roadblocks and creating a seamless path from project concept to deployment. You will manage everything from project prioritisation and resource planning to vendor relations and high-level reporting.     About the AI Team

    Our AI team functions as an internal centre of excellence, partnering with business units across the company to build custom AI solutions to drive significant operational efficiency.     Key Responsibilities

    Strategic & Operational Planning:

    • Project Prioritisation: Work closely with the Head of Innovation and AI Innovation Managers to evaluate and prioritise incoming projects based on strategic alignment and projected business value.

    • Executive Reporting: Produce simple, clear, and easy-to-understand data reports and performance dashboards for senior stakeholders, including the COO and the Board, to demonstrate team progress and project ROI.

    • Roadmap & Resource Management: Translate the AI strategy into a clear operational roadmap. Manage team resource allocation, including budgets, software licences, and personnel bandwidth.

    • Budget & Financial Oversight: Own the AI team's operational budget, including forecasting, tracking, and reporting on compute costs, vendor contracts, and tooling expenses (in $USD & £GBP).

    AI Impact & Governance

    • Business-Wide AI Auditing: Coordinate the process for auditing and approving AI tools (e.g., third-party SaaS platforms) for use across the company. You will be responsible for maintaining the 'approved tool list' and ensuring employees are only using secure and compliant AI.

    • Impact Measurement & Value Reporting: Establish the frameworks for measuring the commercial impact and value of AI adoption. This will involve setting up data reporting pipelines (and identifying gaps where new pipelines are needed) to collect key metrics, then reporting these stats, figures, and insights back to senior leaders.

    • Adoption Monitoring: Design and implement a simple, effective process for tracking AI tool usage across the business. This includes understanding what tools internal teams are using, how much they are using them, and ensuring a regular reporting cadence from those teams.

    Internal Process Design & Optimisation:

    • Build Foundational Processes: You will be responsible for designing, documenting, and implementing simple, effective, and scalable processes for the entire AI project lifecycle.

    • Governance & Compliance: Establish and manage straightforward processes to ensure data privacy, model fairness, and regulatory compliance (e.g., UK GDPR, Data Protection Act) are considered from the start of every project.

    • Continuous Improvement: Continuously seek feedback from the team to refine and improve workflows, ensuring we remain agile and efficient as we grow.

    Cross-Functional Liaison & Enablement:

    • Business Unit Connector: Act as the primary operational point of contact between the AI team and internal partners, including Finance, Production, Legal, and IT.

    • Remove Bottlenecks: Proactively identify and resolve operational, administrative, and logistical hurdles that slow down the team, allowing them to focus on innovation and delivery.

    • Vendor Management: Manage relationships with third-party data providers, labelling services, and software vendors, handling budget requests, onboarding, and performance reviews.

    Qualifications & Skills Required:

    • Experience: 2+ years of experience in an operations, project management, or programme management role.

    • A "Builder" Mindset: A strong track record of building and implementing new processes, systems, and workflows from scratch in a fast-paced environment.

    • Exceptional Organisation: You must be a master-organiser with meticulous attention to detail and the ability to manage multiple competing priorities.

    • Stakeholder Management: Exceptional communication and interpersonal skills. You must be able to confidently and clearly liaise with everyone from technical engineers to C-level executives.

    • Pragmatic Problem-Solver: A proactive and resourceful problem-solver who can navigate ambiguity and find simple, pragmatic solutions to complex challenges.

    • Passion for Learning: A genuine passion for technology and a strong desire to learn about Artificial Intelligence; you will gain deep knowledge of AI through this job.
