The RoleWe're looking for an exceptional operator to serve as the CEO's right hand, with direct ownership of Finance, InfoSec, and Legal operations. You'll leverage AI to optimise processes, master our systems, and become the force multiplier that enables leadership to focus on strategic growth.
This is a high-trust, high-autonomy role for someone who thrives on variety, takes full ownership of their remit, and gets things done without needing to be chased. You'll free up leadership to focus on strategic growth while running these functions to a high standard and over time, you'll help the wider team work smarter too.
What You'll OwnOperations & Strategic Support
This is where you'll have the most variety and the most room to grow. You'll work closely with the CEO to keep Vable running smoothly and improve how we operate.
Work with leadership to maintain and improve our core operational tools, including Monday.com, Xero, and others
Build and maintain reports and dashboards that give leadership visibility across the business
Use AI tools to identify and eliminate inefficiencies in day-to-day processes
Manage software licences, access controls, and vendor relationships
Support the CEO on special projects — getting exposure to strategic priorities across the business
Finance OperationsYou'll own the day-to-day financial operations of the business, keeping our records clean and our processes running reliably.
Manage bookkeeping in Xero, including bank reconciliations and financial records
Handle supplier and client invoicing, contracts, and payment processing
Track costs and prepare monthly financial reports
Support budget forecasting and work with the Head of People on contractor expenses and payroll
Legal & Compliance OperationsYou'll keep Vable's contracts and compliance obligations organised and up to date — a critical function as we grow.
Maintain our contract repository, tracking key dates and renewal deadlines
Support the review and finalisation of standard contracts, flagging issues for leadership
Use AI tools to compare contract versions and extract key terms
Maintain and update our information security policies under leadership guidance
Support supplier risk assessments and help manage certifications and DPAs
Track compliance deadlines so nothing slips
What You'll BringEssential
Degree level Education (2:1 or First) with quantitative A-levels demonstrating analytical thinking
3-4 years in operations or a similarly broad role in a start-up or scale-up environment — you're used to wearing multiple hats, building as you go, and adapting when the ground shifts
Advanced Excel/Google Sheets skills - comfortable with pivot tables, data analysis, and using AI to build complex formulas when needed
AI fluency - already using AI tools daily to solve real problems
Genuinely tech fluent — you pick up new tools quickly, enjoy exploring what they can do, and don't wait to be trained. You have a “figure it out” mentality
Track record of execution: reliable, thorough, and you only need to be asked once
Excellent judgement with confidential and sensitive information
Able to manage a demanding and varied workload independently, without losing quality or pace
Strong interpersonal skills and the ability to build trust across a remote team
The right to live and work in the UK
Highly DesirableXero or cloud accounting software experience
Background in bookkeeping, legal operations, or compliance
Experience with Monday.com, data visualisation tools, or project management
Familiarity with InfoSec practices — policy management, supplier risk assessments, or compliance frameworks (e.g. ISO 27001, Cyber Essentials)
Comfort supporting HR operations

You prefer to go deep in one specialism rather than move fluidly across Finance, Legal, and Ops in the same week
Working directly with a CEO in a fast-moving scale-up means priorities can shift, new problems appear, and you'll need to adapt without losing momentum. If that sounds exhausting rather than energising, this probably isn't the role for you.
