About the Role
Moodle is looking for an organised and proactive Legal Administrator to provide operational and administrative support to our global Legal Team. Reporting to the General Counsel, you will help manage legal requests, contract workflows, records and deadlines across commercial contracts, corporate transactions, data privacy, intellectual property and other legal matters. You will keep work moving by maintaining accurate systems, coordinating documents and signatures, and following up with internal and external stakeholders. This is a legal support role and does not involve providing legal advice or independently negotiating or approving legal terms.
What You’ll Do
Most days in this role usually involve a mix of:
Triage incoming legal and contract requests, check that the required information has been provided, and assign or escalate matters to the appropriate Legal Team member
Prepare approved templates, standard forms, routine correspondence and signature packs for legal review
Maintain accurate contract and matter records, version histories, trackers, status updates and key dates across the relevant systems
Coordinate internal reviews, approvals, electronic signatures and filing of final executed agreements
Track renewal, expiry, notice, filing and response deadlines, and follow up on outstanding information, approvals and actions
Support M&A and other corporate transactions by organising due diligence documents, trackers, meetings, action lists and completion records
Maintain privacy and intellectual property records and support routine coordination with internal teams, the Data Protection Officer, registries and external advisers
Monitor shared inboxes and the Legal Team's Jira board, support team meetings and reporting, and assist with external adviser and invoice administration
We’d love to meet you
Especially if you can tell us about your:
Experience in an administrative, coordinator or junior operations role; experience in legal, contracts, compliance or professional services would be beneficial
Strong organisational skills and the ability to manage several requests, documents and deadlines at the same time
Excellent attention to detail and a consistent approach to document control, data entry, filing and record keeping
Clear written and verbal communication skills and confidence following up with stakeholders at different levels
Sound judgement when handling confidential, sensitive or legally privileged information
Confidence using digital collaboration and business systems, with willingness to learn CRM, Jira, electronic signature and contract management tools
A proactive, service-focused and approachable style, with the ability to work effectively in a remote, global team; no legal qualification is required
