You will be a member of a dispersed team working across Arts Council to deliver transformation as we aim to become a digitally enabled, user focused, and inclusive development agency. You will join a growing team that is building capacity in new digital, design and service delivery skills in line with the Government Digital Service.
This is a key role that supports the practical delivery, development, and day-to-day running of the Transformation Team and the Programme Management Office. The role is varied and includes team coordination, data management and the use of digital solutions for diary and project management as well as the ongoing monitoring of internal and external systems and processes.
Main day to day responsibilities
· Support the Programme Management Office (PMO) with the practical coordination, development, and monitoring of current projects, and provide coordination and communication support to a remote team of project staff.
· Ensure effective coordination and governance by maintaining and developing our internal systems and processes, record keeping and provision of regular updates and reports.
· Provide quality assurance of data and collation of regular data reporting and analysis.
· Develop and maintain a strong file management system for the Transformation Team that is robust and user-friendly within a cloud environment.
· Provide administrative assistance for Transformation financial processes and ways of working, including creating POs, updating budget sheets etc.
· Coordinate requests coming from within the organisation for support from the Transformation Team, this may include the management of a central mailbox function.
· Triage support requests in line with PMO frameworks and ways of working, translating those requests into understandable documents for distribution to key stakeholders.
· Develop key Transformation processes alongside the PMO Lead including project lifecycles, tracking of project risks and dependencies.
· Work to support the Senior Communications Officer to coordinate internal and external marketing and communications activity, including content management planning, editorial and copywriting tasks, presentations.
· Provide key support during meetings including the creation of agendas and minutes. You should be happy capturing and synthesising technical language for distribution to key stakeholders in plain English.
· Track the capacity of the Transformation team to understand the flow of projects at any given time in the year.

· Strong experience in project work and team coordination skills
· Experience in supporting the planning, co-designing and rolling out new ways of working.
· Strong skills in the use of Microsoft 365 with particular emphasis on; Word, Excel, SharePoint, Teams, Outlook, Planner and Loop.
· An interest in operations and ways-of-working
· Practical use of data i.e. data collection, basic management and reporting.
· Highly developed communication skills, ability to influence and relate to others.
Desirable (Skills, Knowledge, and Behaviours)
· Use of CRM systems, such as Microsoft Dynamics
· Use of data visualisation tools such as Power BI
· A foundation qualification in Project Management Office (P3O)
