We are seeking a dedicated ‘Head of Tutoring Operations’ to serve as the operational lead for our tutoring division. This role is crucial in ensuring that all interactions with parents, students, tutors, and institutional partners are handled with the utmost professionalism, efficiency, and empathy.     1. Role Purpose

    The Head of Tutoring Operations is responsible for the operational excellence and educational integrity of MVA Tutors. This role bridges the gap between strategic business goals and day-to-day delivery, ensuring that every student, parent, and client receives a premium and reliable experience. The Head of Tutoring Operations is the 'operational second-in-command,' driving growth through efficient systems and world-class client relationship management.

    2. Key Responsibilities: Operational Leadership & Efficiency

    • System & Process Ownership: Take the lead in managing day-to-day operational systems (CRM and bespoke internal platforms), ensuring they function efficiently to support business management and growth.

    • Commitment to Safeguarding: Willingness to train and qualify as the Deputy Designated Safeguarding Lead (DDSL) for the organisation. Once qualified, you will act as the DDSL, ensuring all tutoring programs and placements adhere to the highest standards of student safety and regulatory compliance

    • Process Improvement: Identify, document, and implement Standard Operating Procedures (SOPs) across all departments to enhance overall efficiency, from lesson logging to tutor matching.

    • Financial Administration Support: Support the finance team by ensuring accurate and prompt information is provided. Help to liaise across the Education Support Team and finance to ensure efficiency and accuracy.

    3. Client Management & Sales Execution

    • Sales Channel Management: Actively manage and monitor the performance of key sales channels (after-school tutoring, homeschooling, school support, Councils), ensuring enquiry response times and targets are met.

    • Enquiry & Discovery: Work with the Education Support Team to manage the main sales inbox and phone enquiries; conduct discovery calls and virtual video meetings to consult on unique client needs and convert leads.

    • Stakeholder Relationships: Develop and maintain long-lasting relationships with schools, local councils, and families of elite athletes, managing complex tuition programmes with a high level of care.

    • Conversion Optimisation: Work closely with the team to analyse the funnel, identify bottlenecks, and implement strategies to improve client conversion and retention rates.

    • Targets & KPIs: Work closely with the Executive Head of MVA Tutors to set and deliver on specific sales targets and KPIs

    4. Team Management & Tutor Oversight

    • Education Support Leadership: Manage, mentor, and provide day-to-day leadership to the Education Support Team, including the Head of Tutors, ensuring they are trained, developed, and equipped to operate effectively.

    • Tutor Lifecycle Management: Oversee the sourcing, recruitment, and professional development of the tutor team. Ensure the matching process is precise and that tutor profiles exceed client expectations.

    • Operational Support: Serve as the primary point of escalation for tutors regarding system challenges, operational issues, or questions, fostering a supportive professional environment.

    5. Required Qualifications & Experience

    Experience (Management) - Proven experience in a senior operational or management role within the education, EdTech, or premium service sector.

    Leadership - Demonstrated ability to manage, motivate, and develop cross-functional teams with a focus on accountability and high performance.

    Core Skills - Exceptional organisational, problem-solving, and time management abilities. High attention to detail. 

    Communication - Excellent written and verbal communication skills; ability to manage complex relationships with internal and external stakeholders.

    Technical Mastery - Must possess extensive knowledge of Google Workspace (Google Suite) and demonstrate high proficiency in navigating and managing complex CRM systems and other technical operational platforms, including the use of AI.

    5. Core Priorities

    • Maintaining strong communication and deep relationships with all clients and tutors.

    • Ensuring the tutor-client matching process runs smoothly and accurately.

    • Providing a positive, consistent, and supportive experience that drives client loyalty.

    • Balancing the breadth of operational demands with a high-quality, reliable service delivery.
