Location: This is a home-based position that will require attendance at in person meetings from time to time and at the 3 – 4-day annual conference each October.
Working hours: Part time:14 hours per week
Salary: £40k – £45k p.a pro rata (Part time:14 hours per week £16k – £18k)

General Summary
Working from home (14 hours per week to suit post holder) the General Secretary will provide professional guidance, administration and support to the APB Executive Committee.
The General Secretary will:
• Comply with all APB standards and policies.
• Support the ethos, aims and objectives of the Catholic Church.
• Engage in a professional and supportive way with APB members throughout the year
• Work closely with the Treasurer to ensure all invoices are paid in a timely way
• Engage in performance management and appraisal processes.
• Engage in training and continuous professional development.
• Identify and keep in contact with those professionals who can advise and support the APB membership on matters pertaining to Religious Order Charities.
Main duties and responsibilities
Administrative
1. Executive Committee
Meetings The General Secretary will organise and attend the Executive Committee meetings (5 - 6 per annum) by:
• Booking appropriate venues if an in-person meeting is required
• Preparing the meeting agenda and papers and circulating ideally a week in advance of each meeting
• Taking notes at the meeting and afterwards, preparing and circulating Minutes of the meetings
2. Association emails and telephone
• The General Secretary is the main and central point of contact of the Association for Full,
• It is expected that a permanent autoresponder will be set up both responding and detailing the General Secretary’s working hours, and for out-of-hours details too.
• The General Secretary will provide telephone support for the membership.
3. Database
• The General Secretary will maintain databases for all Full, Associate and Friend members of the Association.

• Prepare and send out [electronically] membership/annual renewal application forms.
• Process the membership applications/renewals returned by updating the databases and keeping a note of data protection choices.
4. Annual General Meeting (AGM) and Annual Conference
The APB AGM and Annual Conference is usually held during the first full week in October (or occasionally the last week in September if the preferred dates not available). This is Monday afternoon to Thursday lunchtime OR Monday afternoon to Wednesday lunchtime (in alternate years). The General Secretary will be charged with the organisation of, and attendance at, this conference and the Friends Market Place.
This includes (but is not limited to):
• Booking the venue and liaising with the conference centre throughout organisation period and during the conference.
• Agreeing speakers, topics and format with the Executive Committee and then booking the speakers and liaising with them.
• Prepare /update conference Delegates and Market Place booking forms, circulate these with the conference information and draft programme, and deal with them on their return.
• Preparing, and arranging for the printing of, all conference paperwork and conference badges.
• Preparing, circulating and dealing with returned speaker expenses forms.
• Arrange for payment by the Treasurer of any honoraria and travel expenses as agreed by the Committee.
• Administration of speaker presentations and conference liturgies
• Conference delegate packs and organisation of their contents.
Full details of conference preparation will be given to the post holder.
AGM
The General Secretary is responsible for attendance at, the preparation for and circulation of the documentation necessary to hold, an Annual General Meeting of the Association and for the elections to the Executive Committee. For ease, the AGM is usually held during the annual conference. There are time limits to be adhered to for sending out the paperwork.
