Executive Business Support

Working hours: Full Time (39 hours per week)

Salary: £30,000 – £35,000 per annum (dependent on experience)  

  • We are seeking a highly organised, proactive, and professional business administrator to work closely with our senior leadership team and provide vital support across the business. This is a full-time, pivotal role at the heart of a fast-growing technology company, offering variety, responsibility, and real opportunity to shape how the business operates day-to-day.

    KaarbonTech is a leading data and software company specialising in managing highway assets for local authorities across the UK. Our innovative SMART technology, combined with efficient and collaborative working practices, enables us to significantly enhance our customers’ operational efficiency. We currently work with over 40% of local authorities in England, helping them automate asset inspection, maintenance planning, and risk-based decision-making. 

    The successful candidate will enjoy structured tasks, be confident working with senior stakeholders, and take pride in keeping the business running smoothly. You will play a key role in supporting the leadership team, survey operations, sales & marketing, finance and HR functions, contributing to the day-to-day coordination that keeps the company running smoothly. 

    Key Responsibilities

    • Provide direct executive support to the senior leadership team, including preparing information packs, managing key documentation, and coordinating priorities.

    • Assist with core HR administration, including onboarding support, maintaining policies and helping manage workflows.

    • Support finance and sales processes, liaising with internal and external partners where required.

    • Prepare and format reports, documents, summaries, and internal materials for use across different teams.

    • Complete general business information requests relating to tenders, procurement, contracts, and compliance.

    • Help manage business workflows such as logging actions, tracking progress, and supporting leadership follow-ups.

    • Provide flexible business support across the company as priorities evolve with growth.

    Skills and Qualities

    • Highly organised with exceptional attention to detail.

    • Confident working with senior leaders and handling sensitive or confidential information.

    • Tech-savvy and comfortable using Microsoft 365 (Excel, Outlook, Teams, PowerPoint) and CRM systems.

    • Clear, professional communicator with the confidence to liaise across all levels of the business.

    • Strong time management, prioritisation, and task-tracking skills.

    • Adaptable and supportive, with a positive approach to helping multiple teams.

    • Self-motivated, dependable, and comfortable working in a fast-paced environment.

    Essential & Desirable Experience

    • Proven experience supporting senior leadership or executive teams.

    • Working knowledge of HR administration processes (e.g. recruitment support, personnel records, onboarding).

    • A working understanding of business finance processes (e.g. invoicing, purchase orders, expense tracking).

    • Previous experience in a business support, PA, executive assistant, or operations support role.

    • Experience working with or alongside local authority, public sector, or regulated environments is desirable.

    Salary & Details

    • Salary: £30,000 – £35,000 per annum (dependent on experience).

    • Location: Remote (UK-based), with occasional travel for meetings or events.

    • Hours: Full Time (39 hours per week).
