The Executive Assistant will focus and lead on:
1. Developing this new role so it best supports the organisation and its leadership well, enabling the acceleration of charitable delivery and programmes.
2. Supporting our Governance Lead and the Senior Leadership Team with administrative and organisational tasks and projects
You will be responsible for…
Providing executive support to members of the Senior Leadership Team, including inbox and diary management
Supporting compliance with legal obligations and good governance, developing processes and communications to assist with documentation of decision making and adherence to legal requirements.
Organising meetings for the Leadership and Board.
Checking organisational inboxes, ensuring messages are responded to in a timely manner, escalating urgent queries as required.
Overseeing internal administrative systems used to hold organisational information, ensuring these are proportionate and easy to use.
What you will be doing
You will:
1. You will work closely with the Senior Leadership Team and Governance Lead, taking initiative to see where you can offer administrative support that assists with delivery.
2. You will undertake a variety of tasks from raising purchase orders, managing inboxes, organising meetings and ensuring decisions are well documented.
3. You will develop agile processes for recording and updating key organisational information and documentation.
4. You will maintain our policy register, and gather key organisational information for reporting purposes, including managing our internal incident reporting system.
You
You will have demonstratable experience of working for a Chief Executive and Senior Leadership Team, managing multiple diaries, conflicting meeting requests and excellent prioritisation and communication skills.
You will be able to evidence experience of communicating effectively with a range of internal and external senior stakeholders, including executive level teams. You will have experience of quickly building rapport with others recognising their priorities and ways of working.
You will be a motivated self-starter, with demonstrable experience of taking initiative and providing executive level support in fast moving organisation, with a track record of doing this to a high standard.
You will be able to manage conflicting priorities and adapt to organisational ways of working, whilst bringing your own ideas and suggestions for enhancing organisational efficiency.
You will have a can-do attitude, with an ability to problem-solve and find solutions that work well for everyone involved.
You will be confident working in a remote environment, communicating with executive level teams and see how your role integrates into the smooth and efficient running of the organisation.
You will have experience using Microsoft applications for your work and using these to communicate well with others.
You are confident, purpose driven and have a knowledge or willingness to learn about deaf culture.
You will be willing to participate in our residential Staff Summit three times/year and attend other face to face meetings as required.
