Summary
Minerva Virtual Academy (MVA) is the UK’s fastest-growing online school, delivering transformative education to students aged 11–18 across the UK and globally. As we support more students with diverse needs, we are seeking a highly organised and empathetic Admissions Assistant to join our growing team.
In this role, you will be the operational backbone of our EHCP and Local Authority admissions pipeline. You will support the Admissions Manager by ensuring every inquiry is handled with speed, accuracy, and compassion. You will play a vital role in navigating the complex admissions journey for families and Local Authorities, ensuring that administrative processes are seamless, compliant, and supportive. If you are detail-oriented, tech-savvy, and motivated by a desire to help children underserved by traditional systems, this is your chance to make a real impact.
Work Environment
MVA offers a dynamic, rewarding, and exciting work environment unlike other schools or educational environments. The role presents a remarkable opportunity for the right candidate to be part of a fully remote team passionate about leading change in the education sector.
Key Responsibilities
Support the Pipeline: Assist in the day-to-day management of the EHCP and Local Authority admissions pipeline, ensuring every inquiry is tracked, organised, and moved forward with urgency.
Be a Reliable Point of Contact: Provide prompt, joyful, and empathetic communication to parents, Local Authorities, and educational stakeholders, acting as the first line of support for incoming queries.
Master the Admin: Maintain meticulous records in our School CRM and iSAMS, ensuring that data is clean, accurate, and ready for statutory reporting and team handovers.
Coordinate Consultations: Schedule high-level discovery meetings and triage calls, ensuring all parties are prepped and expectations are aligned.
Protect Compliance: Support the Admissions Manager in preparing, writing and filing formal consultation documentation, helping to ensure responses meet strict 15-day statutory timelines.
Bridge the Gap: Assist in the meticulous handover of student files from Admissions to the internal school SEND and Pastoral teams, ensuring a smooth transition for new enrollments.
Think Smart, Work Smarter: Identify opportunities to streamline administrative workflows and reduce repetitive tasks, helping the team operate with maximum agility.
Keep It Tight: Maintain our 'Inbox Zero' standard—because in SEND admissions, speed and clarity are essential to supporting families through high-stress transitions.
Requirements
Mission-Driven: A passion for helping children who are currently underserved by the education system.
Organisational Excellence: Exceptional administrative skills with a high level of integrity and attention to detail.
Communication Skills: Outstanding interpersonal abilities, with a professional yet empathetic demeanour in both written and telephonic interactions.
Tech-Savvy: Comfortable using CRM platforms, Google Suite, and database systems to manage sensitive information.
Resilience: The ability to work efficiently in a fast-paced environment, managing competing priorities while maintaining a high standard of accuracy.
Collaborative Spirit: A proactive attitude towards team collaboration and professional growth.
SEN Knowledge: Previous experience in educational administration, SEND environments, or Local Authority offices.
Desirable
Experience with iSAMS, Canvas, or similar school management systems.
A working knowledge of the UK SEND Code of Practice (2015).
Experience in high-volume, data-heavy administrative roles.
Please note that this job description is not exhaustive and the post holder may from time to time be asked to complete other reasonable duties.
All MVA staff are expected to embody the Ways of Being in their work with us, to be mindful of their safeguarding responsibility for all students, and to ensure they are familiar with and confident in the implementation of school policies.

How to Apply:
If you are passionate about making a difference in the world of education and meet the above criteria, we would love to hear from you. Please submit your CV and a cover letter explaining why you are the perfect fit for this role.
