The Registry team at the NIoT plays a crucial role in the mission of the NIoT by delivering services which support the administration of student records from enrolment through to graduation. The Registry ensures that all aspects of the student lifecycle meet regulatory requirements and provide an exceptional student experience.
About the Role
We are seeking an experienced Academic Quality and Conduct Officer to join our Registry team and oversee the processes for the organisation in relation to academic quality and standards and student conduct, complaints and appeals. The postholder will help ensure that academic regulations, quality assurance processes, committee operations and student casework procedures are implemented consistently, fairly and effectively, in line with institutional policy, sector expectations and regulatory requirements.
This role will focus both on the monitoring of academic quality and standards to ensure they meet sector standards (e.g. the UK Quality Code and OfS sector recognised standards) and ensuring that academic casework and regulations are appropriately administered and handled in line with best practice through investigating, tracking and managing case work for academic appeals, complaints, fitness to practise and other academic policies and procedures. Ensuring that best practice guidance from the Office of the Independent Adjudicator (OIA) is adhered to when managing casework. The role will support with ensuring that appropriate academic quality and standards are upheld and processes such as annual reviews and programme approvals are implemented in line with the institution’s quality assurance manual.

Main Duties and Responsibilities
Support the operation of academic quality assurance processes, including programme approval, amendment, closure, monitoring and periodic review.
Provide advice and guidance to colleagues at all levels of the organisation on academic regulations, quality procedures, programme documentation and approval requirements.
Coordinate the preparation, review and maintenance of programme and module documentation, ensuring records are accurate, current and accessible to relevant stakeholders.
Support the annual monitoring process.
Maintain effective records of quality assurance decisions, conditions, recommendations and follow-up actions.
Support the institution’s compliance with relevant appropriate external bodies requirements such as those of OfS and the DfE and ensure alignment with any internal academic governance requirements
To provide information to staff and students on all academic policies and procedures such as appeal, complaints, non-academic misconduct and fitness to practise.
To investigate and administer conduct, complaints and appeals cases in accordance with institutional regulations and published procedures. Ensuring that complex and sensitive cases are handled appropriately.
To act as a first point of contact for staff, students and professional services colleagues on academic quality and conduct matters
To appropriately coordinate casework activity, including logging, checking documentation, arranging meetings or panels, preparing papers, drafting correspondence and tracking outcomes
To provide secretariat support to academic quality, standards, conduct or casework committees and panels, including agenda planning, papers, minutes and action tracking.
To ensure cases are progressed within agreed timescales and that accurate records are maintained for audit, reporting and compliance purposes.
To assist in the provision of statistical information in relation to academic quality and conduct, identifying themes and trends and contributing to reports for relevant committees or managers.
Handle sensitive information appropriately and ensure that all casework is conducted fairly, consistently and in accordance with data protection requirements.
Act as a key point of contact for trainees on student casework, ensuring sensitive, empathetic and timely responses to individual needs.
To assist with administration and delivery of the Registry service which may include answering emails, telephone calls and enquires.
Liaising with partners and other colleagues to ensure that academic quality and conduct processes are understood and offering advice, guidance and training as appropriate
To ensure that any collaborative provision is monitored appropriately and that academic casework related to any partner follows appropriate governance routes and complies with the institutions policies and procedures
Support the review and updating of academic policies, procedures and guidance documents, ensuring they remain clear, accessible and operationally effective.
Contribute to continuous improvement projects across academic quality, standards, conduct and registry services.
Build effective working relationships with academic departments, professional services teams, students’ representatives and external stakeholders.
Ensure compliance with the Equality Act (2010), data protection requirements and other relevant legislation and institutional policies in all aspects of quality and conduct.
Be aware of and comply with policies and procedures relating to health and safety, security and reporting concerns in accordance with procedures.
Demonstrate commitment to safeguarding and promoting the welfare of children, young people and vulnerable adults.
To handle casework with appropriate confidentiality, sensitivity and adherence to data protection requirements.
To support with regional delivery at your local campus. This will involve setting up for delivery sessions and welcoming participants/trainees.
To sit on the viva assessment panels for a maximum of three days per year to support the process.
Essential Criteria
A commitment to the aims of the National Institute of Teaching, with a focus on improving schools and communities to raise standards for children
Thorough knowledge of higher education in the UK and significant experience of working in an area of the post-holder’s responsibility – ideally in academic quality, registry, academic governance, conduct, complaints or student casework
Thorough knowledge of internal and external regulation, compliance, and best practice relating to academic quality and conduct.
Understanding of academic quality assurance, academic regulations, committee servicing and student casework principles.
Experience of managing administrative processes and operational deadlines in a higher education environment
Strong understanding of internal and external regulation requirements and best practice relating to higher education administration such as the OfS, QAA and OIA
Strong relationship management skills, including communication, engagement, facilitation and mediation
Experience of working in a higher education or similar environment which involves the application of policy and procedure frameworks
Experience in managing difficult situations in a similar environment to a higher education institution
Experience in managing casework or investigations
Knowledge of data protection regulations and best practices in handling sensitive information.
Proficient in the use of MS Office software packages, such as Word, Excel and Outlook, as well as search engines and online databases.
Experience using student records systems, case management systems, SharePoint, committee systems or reporting tools
Educated to degree level and/or significant relevant experience.
Excellent organisational skills and attention to detail.
Excellent interpersonal and written communication skills.
Desirable Criteria
Experience of working in or with the Initial Teacher Education (ITE) sector.
