The company uses a subscription model and has created 12 highly targeted “Phorums” (forums) with tailored content across multiple areas including Drug Substance, Drug Development, Fill Finish, Technology Strategy, Supply Chain Resilience, IT, Data and Digital, Advanced Therapy Medicinal Products, Quality, Regulatory, and Sustainability. BioPhorum’s expert facilitators currently lead more than ninety initiatives involving over 7,000 subject matter experts.
BioPhorum has built a diverse and extensive client base of over 150 organisations, including 18 of the 20 largest global (bio)pharmacos. Beyond pharma, BioPhorum has also built relationships with other types of life science organisations, including those that provide services across the outsourced value chain (e.g., CDMOs), and academia.
Over the last year, BioPhorum has established an exciting growth strategy, launched its first data product and completed an acquisition. Further growth opportunities are being planned in both the core Phorum business as well as adjacent markets. Against this backdrop, BioPhorum is looking to hire an Executive Programmes Analyst to manage the day-to-day components of BioPhorum’s executive engagement programmes.
The Role
Overview
The role of Executive Programmes Analyst is to provide daily and operational support to the Director of Executive Programmes, elevating BioPhorum’s interactions with industry-based executives. Day-to-day, this role will manage agendas, prepare minutes, creating and maintaining impactful PowerPoint packs and managing BioPhorum’s CRM (Dynamics), ensuring executive interactions are updated and access rights are managed. You’ll act as an operational interface between the Executive Engagement team and the broader Phorum organisation, coordinating executive engagements with those in the broader organisation who may already have established relationships with executives across member and non-member organisations. You’ll also develop strong working relationships with the executive’s Assistants to ensure schedules align and sessions are booked as expected.
Main Responsibilities
Provide daily, operational support to the Director of Executive Programmes including activities that support BioPhorum’s service level agreements with members such as managing agendas, documenting and sharing minutes and attendance management
In consultation with Marketing, create and maintain impactful PowerPoint presentations which incorporate a logical flow of information, have a clear narrative, incorporate presentation best practices with slide designs that compel the viewer/reader to take notice
Maintain BioPhorum’s CRM as part of the executive programmes — logging interactions, managing access rights, updating contact detail and changes ensuring a strong platform of data is maintained to ensure there’s confidence when using executive data for programmes and conversations
Develop strong working relationships with key stakeholders who support the executive members, such as Chiefs of Staff, Executive Assistants, Coordinators to ensure attendance and diaries are manage, so that executives can actively attend meetings, round tables and events
Conduct regular internal briefing sessions with Phorum and Commercial teams on executive programmes and contacts, leveraging existing and established relationships from within BioPhorum to assist in the development of strong executive engagement and programmes
Manage executive programme content, especially within The Hub, working with Operations, Product and the Phorum organisations to ensure meta data is correctly used and applied so that materials are accessible and searchable — build-out the executive programmes space within The Hub making it a destination executive members want to use
Prepare both regular and periodic communications for executive members advising of updates, content availability and upcoming events, ensuring these communications tie-together with Marketing’s broader communications, tone of voice and positioning, and work with Relationship Directors to ensure that where customised content is valuable for specific members, that this is curated and available
Develop the process for developing BioPhorum’s value stories including how to surface the work taking place across Phorums and other emerging business lines which create and drive member and industry value; establish the knowledgebase for value stories so they are curated, accessible and aligned with BioPhorum’s broader Marketing programmes including thought leadership
Manage the operational delivery of member-facing executive meetings and events, both virtual and in-person so that they consistently look and feel professional, sweating the details such as network connections working, place settings in place, digital break-out rooms prepared and materials ready for distribution.
Knowledge, Skills & Abilities
Proven success and track record as an Operational / Consulting Analyst or Executive Administrator within professional services or consulting environment, where the role requires a blend of support, content creation and strong organisational skills
Extremely well-honed PowerPoint skills, able to build visually stunning slides that convey highly impactful messaging with a logical flow and narrative
Highly organised with a strong ability to prioritise and sequence activities to ensure deliverables are met and expectations managed
Excellent communications skills, both written and verbal, able to adapt the style of communication based on context and situation
Experience using SharePoint, able to develop the functionality available in order to maximise the utilisation of content and drive traffic and collaboration through the tool
Able to apply the fundamentals of good content and file management, able to enrich metadata so that documentation is searchable and accessible
Strong in diary management, can work practically across multiple diaries to move meetings around to enable necessary meetings to be scheduled
Experienced in the use and application of brand standards; can create content that complies with the look, feel and voice of an organisation’s branding
Highly personable, can build strong professional working relationships across a variety of stakeholders, understands the importance of professional boundaries
Works well within a collaborative environment, at ease with the iterative process, able to receive and use critique in order to continuously improve
